Checking Members In at the Front Desk

This functionality is available to those individuals who have logged in as an admin user. In addition the screens will look different depending on whether you have opted to use our 'self checkin' feature or not to use it.

The screen shows a full view of the 'front desk checkin box',  information that is quickly needed right on the screen. The three dots next to the 'paid' indicator shows member details. Simply click to see that information

This screen shows a compressed front desk check in box. The information that is quickly needed right on the screen is still present & the three dots still accessible.  Along with that the list of people that have used the app to check themselves into the club.   




Go to the Member Splash Dashboard.  

 

Choose a field to search by.  You may select any of the available options from the drop down menu.  If you select Last Name, begin typing the member’s last name in the bottom box marked Search Term. The field will auto-search, so you can type just the first few letters of the person’s last name (such as “jet” for Jetson) and all members with last names that correspond the the letters typed will appear in a list. 

 

If there are multiple families with the same last name, all of them will display.  Once you select the first person from the family you wish to check in, all other families will fall away and only those members in the same account as that family member will display, even if they have a different last name.  Check the box beside the name of each account member that you would like to check in. Verify their ID’s using the photos on the screen.  


 

 

Click the green “Complete Check In” box.  Confirm that you have selected the correct members to check in and click Submit. The Checkin screen will now refresh for the next checkin.





Unpaid Members

 

If a member has not paid their annual dues, there will be a red “Unpaid” box to the right of the name.

 

If you try to complete the checkin for this individual, a red warning box will appear reminding you that the member has not yet paid their dues. 

 

In some cases, like at the beginning of the season where your club may have a grace period on dues payments, you may wish to continue the checkin by clicking Submit.  Alternatively, you may Cancel the checkin and advise the customer that he must bring his account up to date.

 

Pending Accounts

 

If a member has paid their annual dues by check, and that check has not yet been received and reconciled by your treasurer, there will be a yellow “Pending” box under their name.

 

If you try to complete the checkin for this individual, a red warning box will appear reminding you that the customer has not yet paid their dues.  You may wish to continue the checkin by clicking Submit, or you may Cancel the checkin.

 


Is the members HERE? 


The system will allow you to see if a member is already at the pool. This functionality is useful when you are keeping tight track of the number members at the club and you don't want to checkin a member twice. 


To enable the HERE indicator simply go to the Settings and click "enable checkout"


If you are not using the checkout feature, the system checks all members out at midnight. However, we do recommend that admins enable the checkout feature as it makes it easier for front desk staff to quickly see who is "here" at the pool.



No Photos

 

If there is no photo beside the member’s name, or if the photo is of poor quality, you may take a photo of that person now and add it to their account.  Click here for instructions to do so.
